Connect Ayro to docs, orders, and macros with these field-tested playbooks.
It is 11:12pm. Your queue shows 47 open.
I know the feeling because I lived it with a 12-person team. Same 10 questions. Where is my order. How do I reset. What is your refund policy. You answer them once, then again, then again at midnight.
You tell yourself the fix is hiring. Two more agents and the queue goes quiet.
Then you do the math and the hires do not fix repeats. They just answer repeats more expensively.
Hiring ahead of repeats is paying humans to do copy-paste. Ground, guardrail, then hand off, and Ayro eats the repeats first.
Ground → Guardrail → Hand off with context
That is the whole model. Ground every answer in your docs or order data. Guardrail what Ayro must never do. Hand off with a summary when a human is needed. Every setup below hangs off it.
1. Grounded FAQ answers, not guessing
What it is: Ayro answers from your help center only, with a link to the source every time.
Pain it kills: agents pasting the same 3 paragraphs 40 times a day and drifting between versions.
How it looks in practice:
Visitor: Where is my refund policy for sale items?
Ayro: Sale items are refundable within 14 days with receipt [link]. Want me to start the return?
Visitor: Yes
Ayro: Got it. Order number?
Link / proof: connect your docs as the source of truth. Docs: getayro.ai [SOURCE NEEDED for exact setup URL].
Verdict: use this first. If Ayro cannot cite the doc, it should not answer.
2. Order status lookup without tab-switching
What it is: visitor types order number, Ayro pulls live status and next step.
Pain it kills: the WISMO tax. Where is my order is 20-30% of tickets in most SMB queues [SOURCE NEEDED].
How it looks in practice: no copy-paste from Shopify, no 4-tab hunt. Visitor stays in chat, agent never touched it.
Verdict: if you sell physical goods, ship this week one, day one.
3. Returns intake that actually collects what agents need
What it is: a 4-question flow. Order number, item, reason, photo if damaged.
Pain it kills: the 3-message ping-pong. Agent asks order number, waits 6 hours, asks again.
How it looks in practice:
Ayro: What is the order number?
Visitor: #4821
Ayro: Which item and why?
Visitor: Jacket, too small
Ayro: Got it. I started label #R-991. Check email for pickup. Need exchange size?
Link / proof: your returns policy page as ground. No custom code to start.
Verdict: use when returns are over 10 tickets a week. Skip if you do final-sale only.
4. Escalation with a summary, not a cold transfer
What it is: when Ayro hits a guardrail, it hands off with transcript plus intent plus what it tried.
Pain it kills: customers repeating themselves to the human. That is where CSAT dies.
How it looks in practice: agent opens the handoff and sees: intent is damaged item, tried label flow, blocked on no photo, sentiment frustrated. They start mid-conversation, not at zero.
Verdict: never ship Ayro without this. Containment without clean handoff is a trap.
5. After-hours containment
What it is: 6pm to 9am, Ayro contains FAQs, status, and intake, and queues the rest for morning.
Pain it kills: the Monday avalanche. I once opened Monday to 132 unread. Half were answerable at 2am.
I wired this to Ayro docs search in 10 minutes. Setup notes here: getayro.ai
Cost math nobody puts in the hiring post:
| Option | Monthly cost | Covers |
|---|---|---|
| 1 junior agent for nights | $3,000-4,000 [SOURCE NEEDED] | 1 shift, sick days happen |
| Overtime for current team | $800-1,200 plus burnout | patchy |
| Ayro after-hours containment | plan plus setup | every night, same answers |
Verdict: if Monday queue is over 50, contain nights before you hire days.
6. Agent copilot macros for the messy middle
What it is: Ayro drafts the reply for your human, human hits send. Not auto-send.
Pain it kills: new agents taking 9 minutes per ticket because they hunt tone plus policy.
How it looks in practice: agent sees draft with cited policy, edits one line, sends. Time per ticket drops, quality stays.
Verdict: use for Managed teams with 20 plus agents. Self-serve can skip until volume hits.
7. Weekly benchmark loop, 15 minutes
What it is: every Friday, pull 20 contained chats. Mark: grounded, guardrailed correctly, handed off cleanly.
Pain it kills: silent drift. Docs change, Ayro quotes the old policy, nobody notices for a month.
How it looks in practice:
- Sample 20
- Tag fail reason: wrong doc / missing doc / bad guardrail / bad handoff
- Fix 1 doc, 1 guardrail. Done.
Link / proof: your own sample is the benchmark. Do not trust vendor numbers over this.
Verdict: skip this and the other six rot. Do this and they compound.
Before vs after, same team size
| Before | After Ground-Guardrail-Handoff |
|---|---|
| Agents paste FAQs | Ayro cites docs with link |
| WISMO eats mornings | Status self-serve in chat |
| Cold transfers | Summary handoff |
| Monday avalanche | Night containment plus morning queue |
What to do next
- Do this first: ship 1 plus 4. Grounded FAQs with clean handoff. That is 60 percent of the value.
- Skip this: auto-send on refunds or address changes until your guardrails are boring.
- Measure this: containment with correct citation, and handoff CSAT. Not opens or clicks.
What is the one repeat ticket you would kill first if you could?
Pick your worst repeat, ground it in one doc, add a handoff summary. Start there.
